About the job
We are looking for a highly organized, quick learner with international experience to serve as Executive Assistant. This position reports directly to the President and CEO and executes the day-to-day activities of the President's Office. This role requires a creative, detail-oriented multi-tasker who will ensure smooth daily operations of the President’s office and support quarterly Board and Committee meetings.
Responsibilities include:
- Manage workflow for the President, including control of schedule, tasking and priorities; review mail and drafting routine correspondence and meeting summaries; and plan meetings and travel.
- Support the planning of quarterly Board meetings.
- Support President in preparing for external meetings, events, interviews, and fundraising calls.
- Provide point of contact in the President's Office for Directors, organization partners, funders, press, and other organizational stakeholders.
- Assist in planning special events and organizing trips for the President.
- Provide general administrative support to the President, including completing expense reports.
- Other tasks as assigned.
Skills and Qualifications:
- A minimum of 2 years of relevant professional experience.
- Exceptional organization skills with attention to quality control.
- Excellent written and oral communication skills in English and German essential.
- Experience working with senior executives in managing multiple priorities and heavy workflow.
- Experience in planning and executing events.
- Ability to anticipate forthcoming priorities and take initiative on assignments.
- Ability to manage rapidly shifting priorities.
- Comfort working with people from diverse cultures and in multiple time zones.
- Experience living overseas and/or working in an international organization highly desirable.
- Knowledge of Board procedures and governance practice desirable.
Compensation:
- 2100 EUR per month before tax and commensurate with experience.
- Monthly salary paid 14 times per year (double in June and November)
- A modest relocation package will be offered for candidates outside of Salzburg.
- Standard Austrian benefits include health insurance, pension contributions, sick pay, and 25 days of annual leave. Financial support for German language training is also available.
